Hey Reader, It’s friyay :) And I’m here with some practical things again. Since we’re on this streak, I thought I might as well add one more piece to the puzzle. Systems. One of my favourite parts of business.
I know some of you might immediately think… “I’m just not good at systems.” “I’m not a tech person.” “I’m too disorganised for all of that.” But what if you’re not bad at systems? What if you just haven’t built one around YOU yet? One that works with the way you think. One that makes your life easier rather than giving you another thing to maintain. When I started my business back in 2021, I had no idea about sales. Marketing. Approaching clients. Running an actual business. None of it. All I knew was that I wanted the lifestyle. The freedom. The ability to build something on my own terms. About a year in, I hit a complete breakdown. It all started very innocently. Not really knowing what I should be doing every day. Then that turned into overwhelm. Overwhelm turned into procrastination. And eventually there was just too much information living in my head. Clients. Ideas. Things I needed to remember. Content. Things I should probably follow up on. Things I wanted to build. Things I’d started and forgotten about. My brain was basically trying to run the entire business. And eventually… I exploded :) That experience completely changed the way I think about systems. Because a system isn’t there to make you more corporate. It’s there to hold what your brain shouldn’t have to hold. Your thinking. Your ideas. Your next steps. Your clients. Your projects. Your processes. All of it needs somewhere to live. I’ve spent the last four years building, breaking and rebuilding what I now call my Business HQ. It’s the backend of my business. And my rule is pretty simple: Everything that goes through my head needs a home. If you’ve been following along over the last few weeks, you’ll know I look at business through 5 dimensions: Foundations. Systems. Growth. Visibility. Inner Patterns. Systems come second. Before the website. Before the fancy automation. Before you have 7 clients and suddenly realise you have absolutely no idea where anything is 😂 Because once you’ve started creating your foundations…
Who am I? Who am I helping? What problem am I solving? What am I selling? (and if you haven’t worked through your own foundations yet, you can use my Business Foundation Guide). …you need somewhere for all of that thinking to live. Otherwise every new idea becomes another thing you’re trying to remember. And that’s how overwhelm starts to compound. So without getting too technical… What does a good system actually need? I think it needs to do four very simple things ⇣ 1. CAPTURE You have an idea. A client says something important. You remember something you need to do. You think of a post in the shower. Where does it go? There needs to be a quick place to capture it. Because if the answer is “I’ll remember it”… Good luck 😂 2. ORGANISE Once you’ve captured something, it needs a home. Client information goes with clients. Ideas go with ideas. Projects go with projects. Content goes with content. You shouldn’t need to search through WhatsApp, Notes, Google Drive and seven screenshots to find something you know exists somewhere.
3. RETRIEVE This one often gets forgotten. A beautifully organised system is completely useless if you can’t find anything. You should be able to think: “Where was that idea I had three weeks ago?” …and know exactly where to look. Not everything needs to be visible all the time. It just needs to be retrievable when you need it.
4. ACT And finally… Your system needs to help you DO something. What’s happening this week? What needs my attention? What’s the next step on this project? Who do I need to follow up with? Because we’re not building a beautiful digital filing cabinet. We’re building a business. And this is probably the biggest lesson I’ve learned about systems: Don’t build someone else’s system. You don’t need my exact Notion. You don’t need the productivity guru’s morning routine. You don’t need 46 databases because someone on YouTube told you that you do. Your system needs to match your brain, your business and your life. Mine has changed a few times. It will probably change a few more times. Because the business changes. And so do I. The goal isn’t to create the perfect system. The goal is to create enough structure that your brain doesn’t have to be the system. So here’s a little audit for you this week. Look at those four things: Capture. Organise. Retrieve. Act. ⇢ Where does your current setup break? ⇢ Do ideas disappear? ⇢ Can you never find things? ⇢ Do you have everything beautifully organised but no idea what to work on today? Or… Is most of your business still living in your head? :) That’s probably where I’d start. And since I’m apparently talking systems this week… I want to know what yours looks like.
